Privacy Policy — Job Application Agent

This Privacy Policy explains what information the Job Application Agent (“the Service”) collects, how it is used and protected, and the choices you have. The Service is operated by jobsbw (“we”, “us”). By using the Service you agree to this Policy.

1. Information We Collect

Account details — username, a securely hashed password, and the contact details you add in Settings (full name, phone number, Gmail address).
Application documents — the CV, job posting, and supporting documents you upload, and any notes you add. Server-side copies are held only temporarily while your preview is active and are deleted after the preview expires or the email is sent. If you choose to save documents in the PWA, they remain in this browser's local storage until you clear them or delete the account.
Gmail connection — when you connect a Gmail account for sending, we store the account address and the secure tokens needed to send email on your behalf.
Payment confirmation — if you pay by Orange Money, the payment confirmation we receive (transaction reference, amount, and sending phone number) so we can match your payment to your subscription.
Usage records — application history, payment history, and audit records needed to operate and secure the Service.

2. How We Use Your Information

To create and manage your account and subscription.
To generate cover letters and prepare applications you request.
To send the applications you approve from the Gmail account you connect.
To confirm payments, verify your phone number, and manage billing.
To provide support, keep the Service secure, and prevent fraud or misuse.

3. How We Protect Your Information

Sensitive personal information (such as names, emails, phone numbers, and message content) is encrypted at rest using strong, industry-standard encryption (AES-256-GCM).
Where data needs to be searchable, we use non-reversible hashes rather than storing it in plain text.
All traffic to the Service is protected with HTTPS.
Access to the Service requires a login, and sessions expire automatically.
We never sell your personal information.

4. Data Retention

Server-side uploaded documents are deleted shortly after your preview expires or the email is sent. Documents you explicitly save in the PWA remain on this device until you clear them or delete the account.
Account, subscription, and history records are kept while your account is active and for a reasonable period afterwards to manage billing and security.
Payment confirmation records are kept to support accounting and audit purposes.

5. Your Rights and Account Deletion

You can update your name, phone, and Gmail details at any time from Settings.
You can request deletion of your account and associated data from the Settings page. We will process deletion requests as required by law.
You can disconnect your Gmail account at any time, after which we stop being able to send email from it.
You can request a copy of the personal data we hold about you by contacting us through the Support section.

6. Third-Party Processors

We use trusted third-party services to operate the Service. Your data may be processed by:

Google (Gmail API) — to send applications from the Gmail account you connect.
AI processing providers — to extract job details from postings and generate cover letters.
SMS providers — to send verification codes and notifications, and to receive payment confirmations.
Payment services — Orange Money is used to collect subscription payments; we only receive the confirmation details described above.
Hosting and infrastructure providers — to run the application and its database.

These providers process data only as needed to deliver the Service and are required to protect it. We may also disclose information where required by law or to protect the rights, property, or safety of the Service, our users, or the public.

7. Cookies and Tracking

The Service uses session-based authentication and does not use third-party advertising or tracking cookies.

8. Children’s Privacy

The Service is intended for adults seeking employment. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Policy from time to time. The current version is always available at this page. Continued use of the Service after changes take effect means you accept the updated Policy.
